• Your Google Account identifier required for authentication

We do not collect your Google password.

3.2 Expense Receipts

Subscribers may upload expense receipts in supported digital formats including:

• JPG
• PNG
• PDF

Uploaded receipts may contain personal or business information including, but not limited to:

• Merchant names
• Dates
• Purchase descriptions
• Tax amounts
• Totals
• Supplier information
• Other information appearing on the receipt

3.3 Usage Information

We may automatically collect technical information including:

• Browser type
• Device information
• Operating system
• IP address
• Date and time of access
• Log files
• Usage statistics
• Error reports

This information helps us improve the performance and security of Aidely.

4. How Aidely Processes Your Receipts

When you upload a receipt, the following process occurs:

1. The receipt is securely uploaded to Aidely.
2. The image is temporarily processed using Google Vision API to recognize the receipt contents.
3. Groq AI analyzes the recognized text and extracts structured expense information.
4. The extracted information is automatically written into your connected Google Sheets.
5. The original receipt is saved into your connected Google Drive.
6. Temporary processing files are automatically removed from our servers after processing has completed.

Pixels Magic Limited does not permanently store copies of your uploaded receipts or extracted receipt data on our own servers.

Temporary processing files exist only for the duration necessary to complete the requested processing.

5. How We Use Your Information

We use your information solely for purposes including:

• Creating and managing your account
• Authenticating your identity through Google Sign-In
• Processing uploaded receipts
• Extracting receipt information using AI technologies
• Exporting extracted data into your Google Sheets
• Saving uploaded receipts into your Google Drive
• Providing customer support
• Processing subscriptions and payments
• Improving Aidely
• Maintaining platform security
• Detecting abuse or fraud
• Complying with legal obligations

We do not sell your personal information.

6. Google Account Access

Aidely requires Google Sign-In to authenticate users.

With your permission, Aidely may access:

• Your Google account profile information
• Google Drive
• Google Sheets

This access is used solely for providing the functions requested by you.

Aidely does not access unrelated Google account information.

You may revoke Aidely's access through your Google Account security settings at any time.

7. Artificial Intelligence Services

Aidely uses artificial intelligence technologies including:

• Google Vision API
• Groq AI

These technologies are used only to:

• recognize text on uploaded receipts;
• identify relevant expense information; and
• convert receipt information into structured data.

Although we strive to provide accurate results, AI-generated information may occasionally contain errors.

Subscribers are responsible for reviewing extracted information before relying upon it for accounting, reimbursement, taxation or business purposes.

8. Third-Party Services

Aidely relies on trusted third-party service providers, including:

• Google Sign-In
• Google Drive
• Google Sheets
• Google Vision API
• Groq AI
• Stripe
• Google Analytics

These providers operate under their own privacy policies.

Pixels Magic Limited is not responsible for the privacy practices of third-party services.

9. Payment Information

Payments are securely processed through Stripe.

Aidely does not store payment card numbers or payment credentials.

We only receive payment confirmation and subscription status necessary to provide the Service.

10. Cookies and Analytics

Aidely uses cookies and similar technologies to:

• keep users signed in;
• maintain secure sessions;
• remember preferences;
• measure website performance; and
• analyse website usage through Google Analytics.

Uploaded receipts and extracted receipt information are not permanently stored on Pixels Magic Limited's servers.

Temporary processing data is automatically removed once processing has completed.

Information required for billing, accounting or legal compliance may be retained for the period required under applicable laws.

Subject to the PDPO, you may request to:

• access your personal data;
• correct inaccurate information;
• update your account information;
• request deletion of your account (subject to legal obligations);
• withdraw consent where applicable.

Aidely is intended only for individuals aged 18 years or older.

Such processing occurs solely for providing the Service requested by subscribers.

Updated versions will be published on Aidely together with the revised Effective Date.
