Google API User Data Policy

This Google API User Data Policy explains how Pixels Magic Limited ("Pixels Magic", "we", "our", or "us") accesses, uses, stores and protects Google user data when you use Aidely (the "Service").

This Policy supplements our Privacy Policy and specifically applies to Google's OAuth authentication and Google API Services.

1. Purpose

Aidely uses Google APIs to provide subscribers with automated expense receipt processing and organisation.

We request access only to the Google services necessary to deliver the functionality requested by the subscriber.

We are committed to handling Google user data responsibly, securely and transparently.

2. Google APIs Used

Aidely currently uses the following Google services:

  • Google Sign-In (OAuth Authentication)
  • Google Drive API
  • Google Sheets API
  • Google Vision API

Each API is used solely to provide the requested functionality of Aidely.

3. Information We Access

With your explicit permission, Aidely may access:

Google Profile Information

We access:

  • your name;
  • your email address;
  • your Google account identifier.

This information is used solely to create and manage your Aidely account.

Google Drive

Aidely accesses your Google Drive only to:

  • save uploaded receipt images;
  • organise receipts within your Drive;
  • retrieve files only where necessary to complete processing requested by you.

Aidely does not browse or analyse unrelated files stored in your Google Drive.

Google Sheets

Aidely writes extracted expense information into your designated Google Sheets.

Aidely accesses only the spreadsheets necessary to provide the Service requested by you.

Aidely does not analyse unrelated spreadsheets within your Google account.

Google Vision API

Uploaded receipts are temporarily transmitted to Google Vision API for Optical Character Recognition (OCR).

Google Vision recognises the text contained within each uploaded receipt.

The recognised text is then processed by Groq AI to extract structured expense information.

4. How Google User Data Is Used

Google user data is used exclusively to:

  • authenticate your identity;
  • provide secure access to Aidely;
  • save uploaded receipts to your Google Drive;
  • write extracted expense information into your Google Sheets;
  • process uploaded receipts using Google Vision API;
  • provide customer support where necessary;
  • maintain and improve the functionality of Aidely.

We do not use Google user data for advertising.

We do not create advertising profiles.

We do not sell Google user data.

5. Temporary Processing

When you upload a receipt:

  1. Aidely temporarily receives the uploaded file.
  2. Google Vision API recognises the receipt contents.
  3. Groq AI extracts structured expense information.
  4. The original receipt is stored in your Google Drive.
  5. The extracted information is written into your Google Sheets.
  6. Temporary processing files are automatically deleted from our servers shortly after processing completes.

Pixels Magic Limited does not permanently store uploaded receipts or extracted receipt data on its own servers.

6. Data Retention

Google user data is retained only for as long as necessary to provide the requested Service.

Uploaded receipts and extracted receipt information are permanently stored only within your own Google account.

Temporary processing data exists only for the time required to complete receipt processing before being permanently deleted.

7. Sharing of Google User Data

Pixels Magic Limited does not sell, rent or disclose Google user data to third parties except where necessary to provide the Service.

Google user data may be processed by trusted service providers including:

  • Google
  • Groq
  • Stripe (payment processing only)

We do not share Google user data for advertising or marketing purposes.

8. Security

We implement reasonable technical and organisational safeguards to protect Google user data against:

  • unauthorised access;
  • accidental disclosure;
  • loss;
  • alteration;
  • misuse.

Access to Google user data is limited to systems required to provide the Service.

9. Limited Use Compliance

Aidely's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, Google user data is:

  • used only to provide or improve user-facing features requested by the subscriber;
  • never sold to third parties;
  • never used for advertising;
  • never used to build advertising profiles;
  • never transferred to data brokers;
  • never used for creditworthiness or lending decisions;
  • never used for employment screening;
  • never used for insurance decisions;
  • never used for data mining unrelated to the Service.

10. User Control

Subscribers remain in full control of their Google account.

You may:

  • revoke Aidely's access at any time through your Google Account security settings;
  • disconnect your Google account;
  • delete your Aidely account.

Revoking Google access may prevent Aidely from functioning correctly.

11. Data Deletion

If you delete your Aidely account:

  • your account information will be removed from Aidely, subject to legal retention requirements;
  • temporary processing data will no longer be retained;
  • receipts and spreadsheets stored in your own Google account remain under your control.

You may delete those files directly from your Google Drive or Google Sheets at any time.

12. Policy Updates

We may revise this Google API User Data Policy from time to time.

Updated versions will be published within Aidely together with the revised Effective Date.

Continued use of Aidely after publication constitutes acceptance of the revised Policy.

Pixels Magic Limited is committed to responsible handling of Google user data.

Aidely accesses only the Google information necessary to provide the features requested by subscribers.

We believe users should remain in control of their own information. Accordingly:

  • we access only the minimum Google data required;
  • we never permanently store uploaded receipts on our own servers;
  • we never sell Google user data;
  • we never use Google user data for advertising;
  • we never create advertising profiles;
  • we process Google user data solely to provide the services requested by our subscribers.
